Below is a copy of the Club's GDPR Statement.

We will hold any personal information received in response to this website or from a prospective member on a similar basis


General Data Protection Regulation 2018 Policy Statement

 This statement sets out the Club’s policy on Data Protection in order to comply with our requirements under the General Data Protection Regulation (GDPR) which applies in the UK from 25 May 2018. 


What personal information do we hold? 

The Club holds personal information about its members, provided by them in their applications to become members or subsequently updated by them. This includes but is not restricted to: 

 Name and name of partner (if applicable); 

 Home address and telephone number; 

 Date of birth, date of joining; 

 Email address; 

 Payment and attendance records; 

 Dietary requirements,

 Details of periods served as an officer, committee member or working group member, 

 Photograph of Member. 


Who holds the personal data and how is it used? 

Data is securely held by the Secretary and shared between members as necessary to facilitate the operations of the Club. All members of the Committee and members generally are requested to ensure that any data which comes into their possession during the course of membership is treated confidentially within the Club and material such as Membership Lists are destroyed efficiently when obsolete or updated. 


Members’ personal information will never be passed to third parties [unless required by law]. 


When a member resigns from the Club his personal data will be removed from the Club’s database as soon as possible but within one month at the latest. 


Members’ Rights 

Members have the right to know what personal data the Club holds on them and can ascertain same upon request to the Secretary who will inform them of the data held as soon as possible, but at the latest within one month. 


Members will be notified in the event of any data breach being suffered by the Club. 


Authority to hold the data 

Club Rule 4 stipulates that it is a condition of membership that all members have access to an e-mail address for club communications and therefore, it is appropriate for the Club to hold the data on a Legitimate Interest basis. 


Awareness All members will receive a copy of this Policy.
